Learn about recurring costs and how to model them in Pilfer

Recurs (recurring costs) allow you to model recurring expenses and income, such as salaries, software subscriptions, insurance, rent, and other regular payments. This provides a clear view of your monthly and annual burn rate.

Creating Recurs

To create a new recurring cost:

  1. Navigate to the Recurs page
  2. Click "Create Recur"
  3. Fill in the details:
    • Name: Name for this recur (e.g., "Company Recur", "Project Alpha Recur")
    • Account: Starting balance or account value
    • Expenses: Add recurring expenses and income

Expenses

Each recur contains expenses that can be:

  • Monthly: Recurring every month
  • Annual: Recurring once per year
  • Incoming: Income or revenue
  • Outgoing: Expenses or costs

Examples of expenses:

  • Monthly Outgoing: Salaries, rent, software subscriptions
  • Annual Outgoing: Insurance, annual licenses, equipment maintenance
  • Monthly Incoming: Recurring revenue, client payments
  • Annual Incoming: Annual contracts, grants

Expense Properties

Each expense has:

  • Name: Description of the expense
  • Cost: Amount (positive number)
  • Period: Monthly or Annual
  • Direction: Incoming or Outgoing
  • Category: Optional categorization for reporting

Burn Rate Calculation

Pilfer automatically calculates:

  • Monthly Burn Rate: Net monthly change (incoming - outgoing, with annual expenses divided by 12)
  • Annual Burn Rate: Net annual change (incoming - outgoing, with monthly expenses multiplied by 12)

This gives you a clear picture of how your recurring costs affect your financial position over time.

Scoping

Recurs can be scoped to:

  • Company: Overall company burn rate
  • Project: Project-specific burn rate

This allows you to model burn at different levels:

  • See overall company financial health
  • Understand project-specific financial impact
  • Compare different scenarios

Labels and Projects

You can link recurs to:

  • Labels: Tag expenses for additional organization
  • Projects: Scope expenses to specific projects

This helps you filter and analyze expenses by category or project context.
